Mobile Devices: How to Download & Edit Our Templates

The downloadable health and safety templates from easyhealthandsafety.com are created for business owners, managers and workers who need practical, ready-to-use documents for managing workplace health and safety. Our range includes editable risk assessments, method statements, policies, accident reports, COSHH forms, practical H&S guidance and complete health and safety template bundles for different industries, trades and work activities.

Although our documents may be easier to view and complete on a larger screen, such as a computer or laptop, our editable PDF templates can also be downloaded, opened and completed on an iPhone, iPad, Android phone or Android tablet. This guide explains how to find your downloaded files, extract a .zip file where required, open the documents using the free Adobe Acrobat Reader mobile app and update blank fields or pre-filled content directly from your mobile device.


Before You Begin

Before downloading your documents, make sure you have:

  • Access to the email address used to place your order.
  • Enough storage space available on your device.
  • The latest available version of your device’s operating system installed.
  • A file-management app, such as Files on an iPhone or iPad, or Files by Google or an equivalent app on Android.
  • The free Adobe Acrobat Reader: Edit PDF mobile app.

The names and positions of buttons and menus may vary slightly depending on your device, operating system and app version.


Step 1: Download Your Product

Open your order email and tap the download link provided.

Your browser may ask you to confirm the download or choose where the file should be saved. Follow the instructions shown on your screen and allow the download to finish.

Depending on the product purchased, your download may contain:

  • A single PDF document.
  • Several individual PDF documents.
  • A .zip file containing multiple documents, which is commonly used for larger template bundles.

A single PDF can normally be opened directly. A .zip file must be extracted before you can access the documents inside it.


Step 2: Find Your Downloaded Files

On an iPhone or iPad

  1. Open the Files app.
  2. Tap Browse.
  3. Open the Downloads folder.
  4. Locate the PDF or .zip file you downloaded.

Your Downloads folder may appear under iCloud Drive or On My iPhone, depending on your settings.

When using Safari, you may also be able to tap the download button in the browser to view recently downloaded files.

On an Android Phone or Tablet

  1. Open Files by Google or the file-management app installed on your device.
  2. Open Downloads or Recent.
  3. Locate the PDF or .zip file you downloaded.

The name and layout of the file-management app may vary between Android devices.


Step 3: Extract a .zip File, If Your Product Includes One

Only complete this step if the downloaded filename ends in .zip.

Larger bundles are supplied as .zip files so that all the individual PDF documents can be grouped together in one download.

On an iPhone or iPad

  1. Open the Files app.
  2. Locate the downloaded .zip file.
  3. Tap the .zip file once.
  4. A new folder containing the extracted documents should appear.
  5. Open the new folder to view the PDFs.

On an Android Phone or Tablet

  1. Open your file-management app.
  2. Locate the downloaded .zip file.
  3. Select the file and choose Extract.
  4. Allow the extraction process to finish.
  5. Open the new folder containing the PDFs.

If your product downloaded as a single PDF, you can skip this step.


Step 4: Download the Free Adobe Acrobat Reader Mobile App

Before installing the app, check that your device’s operating system is up to date and install any available software updates.

Adobe Acrobat Reader is a free PDF app that allows you to open our documents and complete the editable fields on a mobile device.

The app is available from:

  • The Apple App Store for iPhones and iPads.
  • The Google Play Store for Android phones and tablets.

Search for Adobe Acrobat Reader: Edit PDF and check that the publisher is Adobe.

The free version is sufficient for opening our documents and completing their editable fields. You do not need to purchase a subscription.

Adobe may display optional paid tools or subscription offers within the app, but these are not required for using our templates.


Step 5: Open and Complete the PDF

To open and complete a document on your mobile device:

  1. Open the Adobe Acrobat Reader mobile app.
  2. Select the Files tab at the bottom of the screen.
  3. Browse to your Downloads folder or the folder created when you extracted the .zip file.
  4. Tap the PDF you want to complete and allow it to load fully.
  5. Before making changes, use Save a copy to create a separate working version and retain an unchanged original.
  6. Tap directly on a blank editable field or section of pre-filled text.
  7. Enter, delete or replace the information as required.
Important: Do not select Edit PDF. Once you have opened the document simply tap directly on the editable fields or pre-filled content within the document.

Many of our editable products include both a pre-filled version that can be reviewed and adapted and a blank version that can be completed from scratch. Choose whichever is most suitable for your needs.

Why Does “Edit PDF” Say That the Document Is Protected?

Edit PDF is a separate Adobe tool used to alter fixed content such as headings, instructions, page structure and design elements. These parts of our documents are protected to preserve the layout and structure of the template.

The fields intended for completion remain editable. If a protected-document message or payment prompt appears, close it and tap directly on the blank fields or pre-filled content instead.


Step 6: Save and Check Your Completed Document

The Adobe Acrobat Reader mobile app usually saves changes made within editable fields automatically.

After completing the document:

  • Allow the app a moment to save your changes.
  • Close and reopen the file in Adobe Acrobat Reader to check that your entries have been retained.
  • Rename the completed document so it is easier to identify.
  • Create additional copies if you need different versions of the completed document.
  • Store the document somewhere that will be easy to find later.
  • Use the app’s sharing options if you need to email or send the completed file.


Completing Your Documents by Hand

They may be printed in full colour or black and white, although signs and posters should be printed in colour where reasonably practicable so that important information remains clear and easy to recognise.

Troubleshooting

I Cannot Find My Download

Check:

  • The Downloads folder in your Files or file-management app
  • Your browser’s recent downloads
  • The email containing your download link
  • Whether the file has finished downloading
  • Whether your browser asked you to select a save location

My Product Downloaded as a .zip File

A .zip file contains multiple documents and must be extracted before you can open the PDFs inside.

  • On an iPhone or iPad, locate the .zip file in the Files app and tap it.
  • On Android, open the .zip file through your file-management app and select Extract.

Return to the extraction instructions earlier in this guide for the complete process.

I Cannot Edit the Document Fields

Check that:

  • The PDF is open in the Adobe Acrobat Reader mobile app.
  • You opened it by selecting the Files tab and browsing to the document.
  • You are tapping directly on an editable field.
  • You have not selected Adobe’s separate Edit PDF tool.
  • The document has finished loading.
  • You have opened an editable template rather than a poster, sign or guidance document.

Adobe Says the Document Is Protected

This message will normally appear if you select Edit PDF and attempt to alter a protected part of the document.

The headings, instructions, structure and design may be protected, but the intended form fields can still be completed.

Close the message and tap directly on a blank field or the pre-filled content within an editable field.

My Changes Have Disappeared

The Adobe Acrobat Reader mobile app usually saves changes made within editable fields automatically.

Try:

  • Reopening the document from the app’s recent files.
  • Allowing the app a moment to save before closing it.
  • Checking that you opened the file in Adobe Acrobat Reader rather than a browser preview or another app.
  • Looking in your device’s Recent files.
  • Using Save a copy before making changes so the original remains unchanged.
  • Renaming the completed version so it is easier to identify.

Adobe Is Asking Me to Pay

A paid subscription is not required to complete the editable fields in our templates.

A payment or subscription prompt may appear if you select a premium tool such as Edit PDF. Close the prompt, reopen the document and tap directly on the editable fields instead.

I Can Open the PDF but Cannot See Any Editable Fields

Some products, such as safety signs, posters and certain guidance documents, are not intended to be edited.

Editable templates contain fields that can be selected and updated. Check the filenames within your product to make sure you have opened the correct document.
